WhatsApp Business API Onboarding Checklist for Indian Businesses
A practical checklist covering business ownership, number readiness, embedded signup, templates, consent, webhooks, team access and production launch.

WhatsApp Business API onboarding requires verified control of the Meta business assets, a suitable phone number, accurate business and website information, the correct WhatsApp Business Account, embedded signup or authorised partner mapping, phone registration, approved templates, webhooks, team roles, consent records and a tested live-agent handoff.

Four points to carry into the next decision.
1. Confirm asset ownership and administrator access
Identify the Meta Business Portfolio that should own the WhatsApp Business Account and confirm that the responsible business administrator can sign in. Record who controls the portfolio, WABA, phone number, billing relationship and partner access.
Avoid beginning onboarding from a personal or agency-owned asset when the client should retain ownership. Duplicate WABAs, similar business names and unclear partner mapping can make later support and migration harder.
2. Make the business identity review-ready
The legal or public business name, website, domain email, address and service description should be accurate and consistent. The website should clearly identify the organisation and provide accessible contact, privacy and terms information.
Prepare the desired WhatsApp display name and ensure it represents the business customers expect to contact. Approval remains subject to Meta’s policies and review process; a service provider cannot guarantee acceptance or a verified badge.
3. Check the phone-number path
Confirm that the business controls the number and can receive the required verification method. Determine whether it is a new number, an existing WhatsApp app number that needs an eligible transition, or a number already connected to another WABA or provider.
Do not remove an existing production setup until the migration or re-embedding plan, backup needs, downtime window and rollback responsibility are understood. Two-step verification status and partner instructions may also affect a specific migration workflow.
4. Complete authorised signup and partner mapping
Use the provider’s authorised embedded-signup flow or the applicable Meta business-management process. Select the correct Business Portfolio and WABA, create or select the intended phone number and grant only the permissions needed for the operating model.
After signup, verify the IDs and roles instead of relying on display names alone. Record the Business Portfolio ID, WABA ID, phone-number ID, display phone number and authorised partner so technical and support teams refer to the same assets.
5. Prepare templates, consent and conversation rules
Create message templates around real customer journeys: authentication, utility updates, service reminders, opted-in marketing and re-engagement where permitted. Keep variables clear, provide required examples and avoid vague or misleading content.
Maintain evidence of how customers agreed to receive WhatsApp communication. The website form, campaign source, consent wording, timestamp and contact record should be retrievable. Provide a clear opt-out path and honour customer preferences.
6. Test the complete production journey
Test approved outbound templates, inbound messages, webhook events, delivery statuses, chatbot paths, live-agent assignment, CRM updates, media, error handling and opt-out suppression. Confirm what happens when the bot cannot understand the request or an agent is unavailable.
After launch, monitor template decisions, quality signals, customer blocks, delivery errors, response time and unresolved conversations. Messaging limits, quality status, template approval and account enforcement remain controlled by Meta.
A successful onboarding is not just “API connected.” It is an owned, compliant and testable customer-service journey.
